Our commitment to our clients
All treatments provided by Chloe Goodman will last for the specified duration purchased. i.e. a 60 minute treatment will last 60 minutes.
All clients must complete a consultation form prior to first treatment this can take up to 10-15 mins for consultation, where CG needs to do more testing, discussing or movement based therapy this could run into treatment time. Allocated time of eg. 60 min or 90 min is inclusive of the consultation, exercises and treatment.
CG may offer a number of different applications as part of her treatment, including hot or cold therapy, heat such as heat lamp, hot stones, she can offer decompression of the muscles tissue, acupuncture, rock pods, K-tape or Sports tape and movement based rehabilitation such as exercises to go home with and complete outside of treatment hours. This is all to help improve any problem areas. This will be fully explained during treatment and discussed, this is all part of your treatment time. 30 mins is not advised as an initial treatment as it is not enough time to get the maximum benefits from the treatment.
In the cases where exercises are not being completed at home and the client is not seeing any benefit to treatment CG will refer onto another therapist such as Physio. Osteopath or Chiropractor, possibly GP.
Treatments will only be conducted if CG deems the treatment safe for the client to. GP/Consultant permission may be required before treatments can be provided.

Inappropriate Behaviour
CG has the right to terminate a treatment if the client demonstrates inappropriate behaviour, such as rudeness, sexual behaviour or refusing to complete exercises as part of their treatment plan. CG will terminate any inappropriate phone calls and this will mean the number being blocked and reported.

Cancellation Policy
A booking is confirmed once CG and the client have both agreed a date, time, duration and location for a treatment. Once a booking has been made by you, the customer, it is a contract between the customer and CG that the appointment will be attended and paid for.
A text message reminder is sent out 48 hours in advance of treatment via Fresha. CG sends out payment links the Friday before your appointment slot.
CG accepts payment in card only. Please pre pay for you appointment via the link sent at least 72 hours prior to arriving.
CG booking system is ran by Fresha, they offer an app on your phone, it is advised to download the app or book the appointment on their website, you can rearrange your appointment directly on CG Fresha calendar if you would like to make any changes to your appointment.
When booking an appointment with CG it is advised to write down your appointment time slot to minimise forgetting your booking. If any issues with not knowing your slot date and time please feel free to contact Chloe to check the allocated slot.
Where there is a 100% cancellation fee applied this must be paid within 7 days of the cancellation. This will be sent via text or email. Where the cancellation fee is not paid there will not be any further treatment provided until payment is made.
In cases where a client has regularly cancelled appointments and CG feels necessary the treatment will need to be prepaid in full plus a 100% charge on missed appointments or rearranged appointments less than 48 hours notice.
CG has the right to cancel a treatment in the cases where she has fallen ill or for reasons out of her control.
CG has the right to cancel a treatment without notice if the client is intoxicated or inebriated or if the client is being inappropriate, rude of abusive.
CG has the right to cancel and refuse any further treatment with a client if she feels necessary. CG commits to rearranging treatments to a new time and date within 1-2 weeks of the cancelled treatment where possible.

Privacy
Client treatment details will not be discussed with anyone other than the client unless the client is under the age of 18 or has a care worker or guardian. Consultation Forms and treatment notes will be kept on file, securely by CG. All clients must complete a consultation form prior to receiving CGs treatments. By signing the consultation form, clients are giving CGs permission to hold records and data about them all personal information will not be shared with any third parties

Payment
CG accepts card payment only. Payment transaction is completed after treatment.
Reminder text/email is sent 48 hours prior to appointment, if there is a no show from the booked client then there is a 100% cost to the missed appointment due to the slot being taken away from any other potential client in need. Where there is less than 24 hours notice on a cancellation a 50% cancellation charge is applied. In cases where a letter is written to a Dr or insurance company a £30 admin fee is applied.

Complaints Procedure
If a client wishes to make a complaint about CG, this must be emailed to the address specified at https://www.chloegoodman.co.uk/contact/
Complaints must include the date and location of the incident, the full name of the complainant, details of the complaint and a desired outcome following the complaint. All complaints will be taken very seriously and a response will be provided within 28 days Insurance CG’s is fully insured through James Hallam.

Feedback Forms and online reviews
Feedback forms maybe sent to clients from time to time – it is the clients discretion if they would like to leave a review. Content may be used in publicity material and on the website, with the permission of the author Website Content.
Website content will be authorised and managed at CG’s discretion, including testimonials Photographs will only be displayed with the consent of the people in the photograph. Photograph consent may be obtained by CG verbally, or in writing if the client completes a photo release form.

Young Clients
Clients under the age of 18 must be accompanied by an adult.
The adult must give permission for the treatment to be performed.
The adult must co-sign the client’s consultation form.
The adult must be present in the room throughout the treatment.

Vouchers
Vouchers can be used as payment towards any available, advertised treatments
Vouchers are only valid for one use.
Vouchers must be produced by the client on the booking date.
If the whole amount of the voucher is not used, another voucher for the remaining voucher sum will be issued.
Vouchers are only valid up to and including the expiry date. Refunds are not available for vouchers already paid for and provided.

Classes booked via Gymcatch for Chloe Goodman Pilates and Wellness.
At Chloe Goodman Pilates & Wellness, we understand that life can sometimes get in the way of your plans. To ensure the smooth operation of our workout classes and to accommodate all our members, we have implemented the following cancellation policy:
Cancellation Window: Members are required to cancel their reservation for a workout class at least 24 hours prior to the scheduled start time. This allows us time to offer the spot to another member on the waiting list.
Late arrival to class:
Due to all classes being on an appointment basis and the instructor needing to buzz members in at the front door class times are set to the start time they have booked – unfortunately if you are more than 5 mins late for class you will have missed the warm up and will be disturbing the class ambiance if you arrive late. Please where possible arrive for class 10 mins before the class start time.
Late Cancellation Fee: If a member cancels their reservation less than 24 hours before the scheduled class time or fails to show up for the class without prior notice, they will loose the credit for the class on their account.
Cancellation Procedure: Members can cancel their class reservation through our online booking system with Gymcatch, mobile app, or by contacting Chloe Goodman Pilates & Wellness. If cancellations are before the 24 hour period of class start time.
Exceptional Circumstances: We understand that unforeseen circumstances may arise, such as sudden illness or emergencies. In such cases, members can contact us directly to discuss their situation, and we will handle cancellations on a case-by-case basis.
No-Show Policy: Members who fail to cancel their reservations or consistently no-show for classes may be subject to additional penalties, including suspension of booking privileges.
Refund Policy: Late cancellation fees are non-refundable. However, if a member cancels within the designated time frame, any prepaid class fees will be credited back to their account for future use. I you have any quires around the refund please discuss this with Chloe Goodman Pilates & Wellness, Gymcatch can not help you with the terms and conditions of business, it is with the studios degression.
By registering for a workout class at ‘Chloe Goodman Pilates and Wellness’, members agree to abide by the terms of this cancellation policy.
